  • We collect what you give us, basic technical data, and the public pages of any website you ask us to read.
  • We use it to run the site and the snapshot, to reply to you, and to keep things secure.
  • We do not sell or share personal information for advertising, and we use no third-party advertising or tracking cookies.
  • AI providers process content for us under terms that do not allow them to train on it.
  • Email us to see, correct or delete your information.

01Who we are and what this covers

This policy explains how SourceWyse Knowledge Systems, a sole proprietorship based in Goleta, California ("SourceWyse", "we", "us") handles personal information collected through this website and its free tools, including the coverage snapshot.

It does not cover the SourceWyse platform that client properties use. Information inside the platform is handled under each client's agreement and our data processing terms.

02Information we collect

Information you give us

  • The website address you submit to the coverage snapshot, and your confirmation that you are authorized to act for it.
  • Your name, email address, hotel name and role, if you give them to us, for example to receive results, join the Studio waitlist or book a walkthrough.
  • Anything you write in an email to us.
  • Account details, if you sign in.

Information collected automatically

  • Your IP address, browser and device type, the pages you visit, the page that referred you, and the date and time of each request, recorded in server logs.
  • Essential cookies or similar storage needed for sign-in, security and remembering your choices.

Information from public sources

The public pages of any website you ask us to read. Those pages may include names or contact details that the business itself has published.

03How we use it

  • To run the coverage snapshot and deliver its results.
  • To reply to you, arrange walkthroughs and manage the Studio waitlist.
  • To operate, secure and improve the site, including preventing misuse and fraud.
  • To keep a record of your confirmation that you are authorized.
  • To comply with the law and enforce our terms.

04AI processing

We use AI model providers to read website content and produce snapshot results. They process that content on our behalf under commercial terms that do not allow them to use it to train their models. We do not use your information to train AI models either.

05How we share it

We share personal information only:

  • with service providers who host, store, process, email or bill for us, each limited to providing services to us. They currently include Vercel (hosting), Supabase (database and storage), Cloudflare (file storage and backups), Anthropic (AI processing), OpenAI (turning recorded audio into text), Resend (email) and Stripe (payments);
  • with professional advisers, such as lawyers and accountants;
  • when the law requires it, or to protect the rights, property or safety of anyone; and
  • if the business is transferred, including to a company formed to operate SourceWyse.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

06Cookies and tracking

We use only the cookies and similar storage the site needs to work. We use no third-party advertising or analytics cookies, and we serve our fonts from our own servers. If that changes, we will update this policy first.

07Do Not Track and Global Privacy Control

We do not track visitors across other websites, so we treat every visitor the same way whether or not their browser sends a Do Not Track or Global Privacy Control signal.

08How long we keep it

We keep information only as long as we need it:

  • Website content and results from a snapshot: up to 30 days, unless you create an account, in which case they become part of your account.
  • An email address you give us with a snapshot: up to 90 days.
  • Your confirmation that you are authorized to run a snapshot, which records the website, the time, your IP address and the version of our terms: four years, as evidence of that agreement. After 13 months, the IP address is replaced with a one-way code.
  • Security and usage records, which hold IP and email addresses only as one-way codes: 13 months. After that, only monthly totals remain, with nothing that identifies you.
  • Email addresses that bounced or asked not to be emailed: kept as one-way codes, so we never email them again.
  • Websites blocked from the snapshot for misuse: as long as needed to prevent further misuse.
  • Account details: while your account is open, and deleted within 30 days after it closes.
  • Emails you send us, including Studio waitlist requests: up to two years after our last exchange.
  • Request logs kept by our hosting and database providers: up to 30 days.
  • Copies of messages kept by our email provider: up to 30 days.
  • Encrypted backups: deleted information can remain in backups for up to 30 days before it ages out.

We may keep information longer when the law requires it or to resolve a dispute.

09Security

We use reasonable administrative, technical and physical measures to protect personal information, including encryption in transit and at rest. No method is perfectly secure. If a security incident affects your information, we will notify you as the law requires.

10Your choices and rights

  • You can ask to see, correct or delete the personal information we hold about you by emailing jim@sourcewyse.com. We may need to confirm your identity, and we aim to respond within 45 days.
  • You can stop marketing emails at any time with the unsubscribe link or by replying to ask.
  • We will not treat you differently for making a request.

Depending on where you live, you may have additional rights under local law. We will honor them where they apply.

11California residents

California's "Shine the Light" law lets California residents ask whether a business shares personal information with third parties for their own direct marketing. We do not.

12Children

The site is not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

13Where information is processed

SourceWyse is based in the United States, and we and our service providers process information in the United States.

14Changes to this policy

We will post any change on this page with a new effective date. If a change is material, we will also note it on the site before it takes effect.
